How to Format Pole Data for Upload
The following instructions explain how to format your data file for:
• Adding & Updating Poles
• Deleting Poles
• Adding & Updating Attachments
• Deleting Attachments




Choose Your Work Task

In Notify™, you can choose to perform one of the 4 tasks below. Depending upon which type of work you wish to do, your file should be formatted specifically for that task. To begin, choose which task you wish to complete. This will determine how your file should be formatted.

All files must be pipe-delimited text files (.txt).








Formatting Your Data File
Format your pipe-delimited text file with one of the following 4 layouts.
The first character denotes the task you wish to complete.
All files must be pipe-delimited text files (.txt).


1. Add/Update Poles = P

Setting Up Data Fields

The chart below explains each field. Note which fields are required and which are optional.
*Fields that aren't populated should be denoted as no space (i.e. ||)

Fields for Adding, Updating or Deleting Poles

Unique identifier for this pole- This must be your company's unique pole identifier. NOT the pole number.

Company Code or Name the uploading company uses to reference the pole owner.

NOTE FOR JOINTLY-OWNED POLES: If the pole is jointly-owned, owner must be formatted as 'company1/company2(custodian)'. The custodian is optional and may either be company1 or company2.

If the pole is serialized, input that number here.

The Pole Number the power company uses to reference a pole.

Adding, Updating or Deleting Attachments

Company Code or Name uploading company uses to reference the attaching company.

Data Upload Preview

After you have formatted your file, you may upload it to the database. In Notify™, on
the Upload Poles and Attachments dialogue box, select your file and click Import.
Max File size is 20MB.

You will then see a preview of the results of your upload. An example is shown below.
Use the Preview to check your field values to ensure they are correct.


If your data is correct, click SUBMIT to upload your file to the database.
If there are errors, click CANCEL to go back and make changes.

Mapping Company Names

After you have uploaded your file, there may be companies that are not mapped to an existing Notify™ company. If you see the highlighted link below, click on it to map your companies at that time.


Map companies at any time by choosing Map Pole Companies on the Admin page within Notify™.



Next, select the company in Notify™ that should be mapped to your imported company
from the drop-down menu.
If a company is not listed, click ‘Company Not Listed.’

 

Add the company name by which the company should be known in Notify™
along with any additional information and select CREATE.




You can then map your imported company to the new company you created in Notify™.
Once you have mapped all of your imported companies, save your changes.

Viewing Your Data
Once uploaded, your data must be reconciled by Alden BEFORE it is visible on the map.

If there are no errors in your file and you have properly mapped all your company names
if necessary, your data will be visible after reconciliation.
